Provides administrative support to management; performs general secretarial duties including, but not limited to, database system maintenance, office supply inventory, cash reconciliation, maintain document imaging system and purchasing, typing, filing, reception and telephone duties. Assist County Appraiser, supervisors, field appraisers an office clerical personnel with daily functions of the Appraiser’s Office. Assume receptionist duties, greet and assist public or refer them to appropriate staff members, answer phone, route calls and take messages. Assess if callers and/or visitors should have access to information requested to ensure that confidential information is disseminated to authorized personal only. Data entry of new construction, 17% re-inspection, hearings, building permits and field checks. Maintain accurate daily accounting of money drawer, fees and receipts. Prepare monthly billing and track payments for queries, maps, and website membership. Maintain department calendar, schedule meetings and reservations. Update and maintain document imaging to include scanning and indexing appraisal, timekeeping, employee records and financial documents. Manage office mail; screening for distribution and preparing outgoing mail. Maintain front desk area, keeping it clean and free from clutter. Maintain appropriate interpersonal relationships with employees, peers and customers. Schedule Informal Equalization and Payment-Under-Protest hearings. Process information for mailing notifications of hearing appointments and hearing result letters. Help maintain department inventory by checking stock of supplies and anticipating need. Assist in the processing of time and activity records to ensure accurate reporting for payroll purposes. Assist in the duties of the Administrative Associate V and Administrative Associate IV when needed.
